Every item has a ๐ Personal toggle at the bottom of its modal. Flick it on for anything you want kept private. Only you see it.
Her monitor is flickering.
She opens The Daily, clicks Quick capture on Today, types "New monitor for my desk, the current one keeps flickering.", picks Idea, hits Enter. The card lands on the Ideas board with her name on it. KB sees it, agrees, hits Convert to task which moves it to Tasks. KB orders the monitor and ticks done.
Rule of thumb. Idea is "raising it for consideration". Task is "I will do it" or "this needs doing".
She notices the team keeps missing the seven day pre settlement check in.
She opens Ideas, hits + New idea, titles it "Automated seven day pre settlement check in", drops the why and how in the detail box, picks Category Tools, saves. KB reads it, decides yes, opens Projects, creates a project, breaks the build into starter tasks. Kristy ticks tasks off as she builds. The whole team sees progress.
She wants a 90s theme this year.
If no party project exists. She adds it as an Idea with detail in the body (throwback fits, 90s playlist, polaroids at the door, lolly bag favours), Category Events. KB reads it, opens Projects, hits ๐ Party planner to spin up a project from the template with nine starter tasks. She pastes Amy's 90s detail into the project notes. Tammy adds "buy disposable cameras", Kate handles the playlist, the team fills in the rest.
If the party project already exists. Amy skips the Idea step. Opens Projects, finds the project, clicks + Add task, types her idea, saves. Same outcome, faster.
Quick capture, types "Typo on contact page, Bathurst spelt Bathrust", picks Task, hits Enter. Abby sees it, fixes it that afternoon, ticks done.
Pat is a long term client. Reminders tab, + New reminder, title "Pat (client), birthday", date 12 June, type Birthday, tick Repeats every year, notes "Send card a week before, address in matter file". Saves. Shows up on Today's "Important dates ahead" from a week out, every year forever.
Hairdresser Friday 4pm, vet visit Monday. She adds them as Tasks but flicks the ๐ Personal task toggle on at the bottom of the modal. Only Lea sees them. Team list stays clean.
Ask KB or Abby. They both have full visibility and can sort anything from a wrong PIN to a missing item.
